REFUND POLICY

NEHSCA league fees are not refundable after the first race of the season. Prior to the first race of the season, a league fee refund may be requested in the event of an injury or inability to participate.  Race entry fees are transferable from race to race within the current year series. Race entry fee transfer requests must be made at least one day before the original race. No race entry fee refunds will be given after the race has taken place. Race entry fees are not transferable from one person to another.

Race registration is only available online, through the NEHSCA BikeReg page. Registration deadline is Thursday at 5:00 PM EST the week of the race. No onsite registration.

WEATHER POLICY

Below are the guidelines for how the League will conduct races and events if weather or other situations arise that interfere with risk management policies.

Our primary considerations are the safety of riders, support staff and spectators, and potential damage to the venue and trails. Any decisions regarding canceling, postponing or altering race start times, lap lengths, number of laps, etc. will be made jointly by the league directors and the land manager. Often this decision cannot be made until the morning of the race due to the unpredictable and rapidly changing nature of severe weather.

The league will make every attempt to notify the racing population as soon as possible via website updates, email and social media.

Race Fees:

  • If a race venue is moved or a race is re-scheduled race fees will automatically be applied to the moved or re-scheduled race.
  • If a race is cancelled due to weather conditions fees be applied to the next race. If the last race of the season is canceled due to weather race fees will be refunded within 7 days of the race date. The BikeReg service fee portion will not be refunded.

Race points:

  • If a race is cancelled (not able to be moved or rescheduled):
    • No team points will be awarded and the race will not be included in the season overall team point standings.
    • No individual points will be awarded and the race will not be included in the season overall individual point standings. Riders will still have a “drop race” available from the remaining races.
  • If a race is partially completed (some fields complete their race and others do not):
    • No team points will be awarded and the race will not be included in the season overall team point standings.
    • Individual points will be awarded in all of the fields that completed their race and those fields will proceed through the season as normal.
    • No individual points will be awarded in the fields where races were not completed and the race will not be included in the season overall individual point standings. Riders will still have a “drop race” available from the remaining races.

WEATHER GUIDELINES

  • Races are held on their scheduled dates unless the race course on the day of the race is deemed unrideable and dangerous.
  • The League will have the option to alter the start of a race from its published times if the weather has created dangerous conditions.
  • All racing will stop immediately in the presence of lightning and thunder. Course marshals will direct racers off course where they can seek shelter in vehicles, trailers/RVs, or buildings.
  • Courses and/or lap lengths may be altered or shortened due to weather conditions. Last minute changes will be broadcast to riders at the start of each wave via the race announcer. If conditions require a change in number of laps during a race, a person will be stationed at the lap line advising riders of the change.
  • All racing will stop immediately in the presence of dangerous circumstances, as signified by the chief referee, race director and/or EMS staff. Lightning is cause for an automatic stoppage of racing. Racing may continue once the league director,  and the head timer have conferred.
  • Re-starting a race that has been stopped:
    • Depends on schedule and number of laps completed, the race may be declared over;
    • If time permits, racers will be able to resume laps beginning from the lap line.
  • Communication of delays, changes in start time, courses, etc. will be made by the league as follows:
    • On the league website prior to the race day, if possible;
    • Via social media;
    • Via email;
    • Over the public address system on the race day.
  • The league will not refund pre-registration fees due to inclement weather.
  • The league does not allow registration transfers to subsequent races due to inclement weather.
